Privacy Notice

This notice explains how Great Scottish Events (“we”, “us”) collects and uses personal information when you visit greatscottishevents.net, contact us, join our mailing list or volunteer at one of our events. We are the data controller for this information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Great Scottish Events organises running, walking and community events in Scotland, including the Edinburgh Christmas Running Festival and the Great Perthshire Last Mince Pie Run. You can contact us about anything in this notice at info [at] greatscottishevents [dot] net or on 0131 336 3620.

What we collect

We only collect information you choose to give us:

• Emails – your name, email address and anything you write in your message.
• Mailing list – your name and email address, when you email us asking to join.
• Volunteering – the details you send us when you apply, such as your name, contact details, availability and any relevant experience.
• Phone calls – any details you give us so we can deal with your enquiry.

This website has no forms and does not collect any personal information itself. We do not take payments or collect card details on this website.

Event entries

Entries for our events are taken by Let’s Do This, who process your entry and payment details on our behalf and share with us the information we need to run the event (such as your name, contact details, age category and emergency contact). Their own privacy policy applies when you enter through their site. Race timing and results are published by our timing provider and on the results pages linked from this site.

How we use your information, and our lawful basis

• To answer your enquiry – our legitimate interest in responding to people who contact us.
• To send our mailing list emails about upcoming events and offers – your consent. You can ask us to remove you at any time by replying to any of our emails.
• To organise volunteers – our legitimate interest in running safe, well-staffed events, and to take steps you have asked for before you volunteer.
• To run your event – to perform our agreement with you when you enter, and to meet our legal and safety obligations on the day.

Sharing your information

We do not sell, trade or rent your personal information. We only share it with service providers who help us run our events and this website, such as our email, website hosting, entry and timing providers, and only so far as they need it to provide that service. We may also share information where the law requires it, or with the emergency services if there is a safety concern at an event.

How long we keep it

• Enquiries – up to two years after our last contact with you.
• Mailing list – until you ask us to remove you.
• Volunteer details – up to two years after the last event you volunteered at, unless you ask us to keep you on our volunteer list.

Cookies and third-party services

This website does not use analytics or advertising cookies. It loads its fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with them. See our Cookie Policy for details. Links to other sites, such as Let’s Do This, Dropbox, Facebook and Instagram, are covered by those sites’ own privacy policies.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your information;
• ask us to restrict or stop using your information, or object to how we use it;
• ask for your information in a portable format;
• withdraw your consent at any time, for example by unsubscribing from our emails.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

We may update this notice from time to time. The date below shows when it was last changed.
